Premier Bookkeeping and Accountancy Services (“PBAS”, “we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal data we collect through this website and as part of providing our bookkeeping and accountancy services, how we use it, and what rights you have.

Who we are

Premier Bookkeeping and Accountancy Services is a sole trader business operated by James Veal, based at 1 Drummohr Terrace, Wallyford, Musselburgh, East Lothian, EH21 8BX. We are the data controller for the personal data described in this policy.

What we collect and why

When you contact us through this website

Our contact form asks for your name, email address, phone number (optional) and your message. We use this solely to respond to your enquiry and, if you go on to become a client, to set up your file. This is processed on the basis of our legitimate interest in responding to enquiries, or to take steps towards a contract with you if you’re enquiring about our services.

Our contact form is protected by Google reCAPTCHA, which helps prevent spam submissions. Use of reCAPTCHA is subject to Google’s Privacy Policy and Terms of Service.

When you become a client

If you engage us for bookkeeping, accountancy, tax or payroll services, we collect and process the personal and financial information necessary to carry out that work — for example, your name, contact details, National Insurance number, UTR, income and expense records, bank statements and other financial documents you provide. This is processed under our contract with you, and where required, to comply with our legal obligations (for example, filing accurate returns with HMRC on your behalf).

Cookies

This site may use cookies for basic functionality, security, and to understand how the site is used. You can control or disable cookies through your browser settings, though some parts of the site may not work as intended if you do.

Who we share your data with

We do not sell or rent your personal data. We share information only where necessary:

  • With HMRC and other relevant authorities, as required to carry out the services you’ve engaged us for
  • With software providers we use to deliver our services (such as MTD-compatible accounting software), who process data on our instructions
  • Where we’re required to by law, or to protect our legal rights

How long we keep your data

Client financial records are kept for as long as required by HMRC recordkeeping rules (currently at least five years after the relevant Self Assessment deadline for most sole traders), or longer where required by law or professional guidance. Enquiry details from people who don’t go on to become clients are kept only as long as reasonably needed to respond, and are deleted periodically thereafter.

Keeping your data secure

We take reasonable technical and organisational steps to protect your personal data, including secure storage and access controls. No method of transmission or storage is completely secure, but we work to protect your information to a high standard.

Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Ask us to correct inaccurate data
  • Ask us to erase your data, where we’re not required to keep it for legal or professional reasons
  • Restrict or object to certain processing
  • Request a copy of your data in a portable format

To exercise any of these rights, contact us at pbaservices08@gmail.com. If you’re not satisfied with how we’ve handled your data, you also have the right to complain to the Information Commissioner’s Office (ICO).
